1. How can Bytescribe help me get a transcription company started?
Bytescribe has developed a simple and affordable model for managing all aspects of the dictation and transcription process. The Bytescribe model utilizes DocShuttle software as the core organizational tool for transferring and managing voice files and text documents over the Internet. This model provides everything necessary for each individual in the dictation and transcription process – the dictator, transcriptionist and administrator.

2. Why use the Bytescribe model for dictation and transcription?
The Bytescribe model is simple, secure and it works well. Bytescribe has worked with many transcription companies to develop this system. It is affordable and it utilizes the many advantages of using the Internet to transfer and manage voice files. The Bytescribe model provides all the essential pieces necessary for dictators, transcriptionists and administrators.

3. How is Bytescribe’s method different from other alternatives?
Utilizing the Internet for dictation/transcription is still relatively new. There are many varying approaches to transferring and managing files over the Internet. Alternate methods of transferring files have included third party software programs like PCAnywhere or DropChute, email and various FTP client programs. These methods are not specifically designed for transcription management and have many disadvantages including lack of security, management, and functionality. Lately, there are many emerging web-based ASP services. While these web-based ASP services are designed for transcription, they are costly and are usually controlled by the hosting company or they require significant set up of web servers.

4. Why does DocShuttle software utilize FTP as the means of Internet file transfer?
Most people who have browsed the web are familiar with the HTTP protocol (Hypertext Transfer Protocol) for viewing web pages. FTP (File Transfer Protocol) is a similar protocol but is designed for transferring multiple files over the Internet (unlike most web page links that download one file at a time). Also, FTP requires no setup of html pages on the web server. DocShuttle is a simple program that can be installed in minutes and can be used immediately without any work on a web site.

5. What equipment would I need to start up a transcription company?
You would need software and equipment for transcriptionists, dictators and the administrator. Bytescribe makes it easy by offering a dictator startup package, transcription startup package and the administrator software. Details are below.

6. What equipment would dictators need? What is the cost?
Dictators would need a device for dictating (such as a handheld recorder, microphone station, PDA or telephone) and the DocShuttle Dictator software. Basically any device that will record a digital voice file will work. If you are unsure of what type of recording device to use, Bytescribe recommends a dictation startup package that includes DocShuttle Dictator software and the Olympus DS330 handheld recorder or the VIS microphone station. The cost of the dictation package with Olympus recorder is $225. The cost of the dictation package with VIS microphone station is $299.

7. What equipment would transcriptionists need? What is the cost?
Bytescribe offers a transcription startup package. This includes the DocShuttle Client software, WavPlayer software with foot pedal and headset, and SwiftText abbreviation expander software. The DocShuttle Client software integrates best with Microsoft Word (not included) to provide transcription templates for document creation. Other word processors can be used. The cost of the transcription package is $269.

8. What equipment would the transcription administrator need? What is the cost?
The administrator would only need the DocShuttle Administrator software. This software will allow the administrator to manage and view the status of all voice files and text documents from any computer with Internet access. The cost is $299.

9. Do I need a telephone call-in system?
If dictators are using handheld recorders, PDAs or microphone stations, a telephone call-in system is not necessary. However, many dictators and transcription companies prefer a telephone call-in system so that dictators can dictate from anywhere using a touch tone phone. 10. Is there an alternative to the cost and maintenance of a dictation system?
Bytescribe offers DocShuttle Dictation ASP Service. This service provides dictators with a toll free number so that they may dictate from any touch tone phone. You are billed based on the per-minute usage of the service. Varying pricing plans are available for as low as 10¢ per minute. Voice files are automatically uploaded to an FTP site that is provided with the service. Files are immediately accessible using the DocShuttle software.
